► I have registered for the congress and received the invoice to my e-mail. I have already paid it, but have not received a confirmation stating that my payment has been received. Is everything in order with my payment?

When the payment has been made, the system will not send out an automatised confirmation letter.

The payments are being checked regularly and the delegate services will personally contact the delegates whose payments have not arrived on time.

If you have registered, received an automatic confirmation e-mail with your registration data and paid the invoice, your registration will be confirmed automatically.

► I haven't received an invoice/a confirmation e-mail about my registration.

Sometimes the system malfunctions and will not send out the invoice/confirmation e-mail.

If you haven't received yours within one hour after registering, please contact our delegate services.

Before pressing the "Register" button, please double-check your e-mail address for any mistakes.

► I registered before the Early Bird deadline, but I can't pay before this deadline. Am I still going to get Early Bird registration or do I have to pay the higher fee?

If you have registered before the Early Bird deadline, we will not change the prices even if you are not paid on time. We guarantee that if you made a successful registration at the right time, you will get the price that was on that moment available.

► Can I pay several invoices with one bank transfer?

Yes, you can pay the registration invoice or the registration invoices of you and your colleagues in a single transfer - it is important to write all invoice numbers in the payment description.  

► Can we share bank transfer fees?

The participant needs to pay all bank transfer fees, including the correspondent bank fees.

If you say that bank fees should be divided, a smaller amount will reach the delegate services and you will need to cover the missing amount later. 

► What does the registration fee include and exclude?

Registration fee includes participation in scientific sessions, catering during coffee and lunch breaks, Welcome Reception held at the Congress venue, badge for free public transport in Tartu, congress kit, mobile workshop 

Registration fee excludes accommodation, gala dinner, post-congress tour, accompanying person, online sessions

► What does the accompanying person registration include?

The accompanying person fee includes the congress badge, access to the sponsorship exhibition and publication fair, the Welcome Reception, the mobile workshop, congress catering, a city tour, a museum visit and the opportunity to join the Congress Dinner for a fee.

► Can I get a discounted fee?

► I have registered for the congress, but unfortunately, I am not able to attend. Is it possible to get a refund for my participation fee?

Name changes are free of charge. If you have found yourself a replacement, please inform us by writing to aesop2022@publicon.ee.

► My organisation is taking longer than expected to pay my invoice and I'm worried my registration will be cancelled.

We will not cancel any registrations before contacting the delegates beforehand.

If you are worried you won't be able to make the payment on time, please contact our Congress delegate services and they will extend the deadline for you.

► I need to make some changes to the invoice.

Please contact our Congress delegate services aesop2022@publicon.ee, they will gladly make the necessary changes and send you an updated invoice.

► If I choose the online session option, how will I get access to Congress and what do I see?

2 days before the event we will send you an information letter on how you can access the online sessions and keynote lectures depending on the participation option you chose.

If you chose all online sessions, you will be able to see only online sessions from the oral presenters who submitted the abstract for the congress. if you chose all online sessions and keynote lecturers, you will be able to see online sessions from the oral presenters who submitted the abstract for the congress + keynote lecturers who will present their presentations.

Please note that there is no broadcast of other sessions from the congress with online access.

► I need a visa to visit Estonia and join the Congress. How to proceed?

You can request a Letter of Invitation via the registration form.

An official Letter of Invitation to obtain a visa and authorization to attend the AESOP 2022 in Tartu, Estonia will be issued ONLY after a completed registration form, hotel booking and full payment have been received.

Letters of Invitation will not be issued to parties who have not registered and paid in full.

All Letters of Invitation will be issued at the discretion of the Congress organisers.

All expenses incurred in relation to the delegate’s attendance at the Congress are the sole responsibility of the delegate and the Congress organisers hold no responsibility for the outcome of an individual’s visa application.

In case of visa refusal, we will refund the registration fee if we receive the proof of refusal one month before Congress at the latest.

► Can I change my registration from online to on-site?

You can change your registration from online to on-site until July 1.

Please send an e-mail to the Delegate Services and they will issue an invoice for the missing sum.

The missing sum is determined based on the date of the e-mail (early, regular or late fee).

An administration fee of 35€ will apply.

► Can I change my registration from on-site to online?

You can change your registration from on-site to online until June 1 free of charge, between June 2 and June 20 you can get a chance with a 50% refund, and after June 20 you can get a chance to the online format but no refund. Please send an e-mail to the Delegate Services and they will initiate a refund. An administration fee of 35€ will apply.

Name changes are free of charge.

► I am a PhD Workshop participant. Do I need to register separately for Congress?

The PhD workshop fee includes participation in the workshop, accommodation for 3 nights, mid-day meals (4 days), a social programme; participation in the Congress and Welcome Reception; Congress Dinner with a discount; transport from Tallinn to Narva and Narva to Tartu.
